Order Status, Shipping & Returns

How can I check my order status?

Go to My ADA, log in and click the My Orders tab. Look for the order date and number. Your order status should be shown. If the order has already shipped, the tracking number will also be shown. Click on the tracking number to track the shipment.

How much is shipping? Where do you ship?

Your shipping rate is shown when you place an online order, or you can request a shipping estimate when you place a phone order.

Shipping rates are flat rates based on package weight. As of January 2021, the same rate is used across the 48 contiguous United States, U.S. non-continental states and territories. Higher rates apply (and delivery times are longer) for shipments to Canada and Mexico. ADA Store regrets that it does not ship tangible goods outside these regions.

Do you offer express shipping?
If you call our Member Service Center at 800.947.4746 weekdays by 11 a.m. CT, overnight or 2nd day air service is available within the contiguous 48 United States. Please call to order, so our Member Service Advisor can speed things up.
What shipping carriers do you use?

Most ADA Store packages are sent via UPS. For shipments to Alaska, Hawaii, Puerto Rico and the U.S. Virgin Islands, U.S. Postal Service is available upon request. (Unfortunately, for orders of personalized products, U.S. Postal Service is not an option.) Orders for Membership Plaques are sent via FedEx.

How can I return or exchange a product?

Your complete satisfaction, both in the quality of merchandise and the way we handle your order, is very important to us. If you are not completely satisfied with your ADA Store product, you may return it within 90 days for a full refund of merchandise costs.

If you choose to return an item, please call our Member Service Center at 800.947.4746 weekdays, 7 a.m. to 6 p.m. CT, to let us know if you would like a replacement, refund or an exchange. Items must be returned in the original packaging. Include customer name, order number and reason for return. Original shipping and handling charges will not be refunded. If an item arrives damaged, please contact our Member Service Advisors immediately for a replacement.

Does the ADA ship to P.O. Boxes?

Generally not—UPS requires a street address. For shipments to U.S. non-continental states and territories made via U.S. Postal Service, delivery to P.O. boxes is possible.

How can I find out when my backordered item will ship?

We apologize for any delays. Please call the Member Service Center at 800.947.4746 weekdays, 7 a.m. to 6 p.m. CT or email store@ada.org for an estimated ship date.

When will I be charged for backordered items?

Your credit card will be charged for your entire order when every item on your order has shipped.

Pricing & Payment

Who qualifies for ADA Member prices?

ADA Member dentists or members of their staff who have the member’s ADA number qualify for ADA Member prices. Non-profit organizations, U.S. governmental agencies, constituent and component dental societies, educational institutions, and other recognized professional dental organizations also enjoy the privilege of ADA Member prices. If you are ordering for a tax-exempt organization, please notify the Member Service Advisor before you place your order.

Which payment methods do you accept?

We accept Visa, MasterCard and American Express. Checks are also accepted for mail-in orders. Please be sure to provide your exact billing address and telephone number (as they appear on your credit card statement). Incorrect information may cause a delay in processing your order or failure to complete your order request.

Is there sales tax on my purchase?

Appropriate sales tax is calculated during the order check out process and is based on existing local, state and federal laws. Any taxes imposed will be specified in your cart prior to submitting your order. If you are ordering for a tax-exempt organization, please notify the Member Service Advisor before you place your order. If you have any questions about your order total, please call our Member Service Center at 800-947-4746 or send an email to store@ada.org.

Licensing & Permissions

Do I need permission to use an ADA image in an upcoming TV spot or news article?

Yes. Please contact ADA Media Relations at mediarelations@ada.org or 312.440.2806.

I really like a specific image in one of your products. Am I able to use it in my own handouts or on my website?

We evaluate these requests on a case-by-case basis. Please email Caitlin Wilson, patient education product manager, with your request: wilsonc@ada.org.

Who can I contact about licensing the CDT codes?

Visit this page for information about CDT licensing and to complete the Licensing Questionnaire. If questions remain, contact Debbie Labinger, manager, special accounts and licensing, labingerd@ada.org.

Can I make copies of ADA products I own for an upcoming event or presentation?

It depends. ADA does not hold copyright on all images within our products so please contact us and we can evaluate on a case-by-case basis. We highly encourage you to give us the chance to work with you to provide resources that are appropriate for your needs. Contact Caitlin Wilson, patient education product manager, at wilsonc@ada.org.

CDT Licensing & Permissions

Where can I get a list of CDT codes and explanations for my dental practice?
To order print copies of the CDT and the CDT Coding Companion, or to order the CDT 2023 App, visit ADAstore.org.

A list of CDT codes in Excel format is available only to companies who use CDT commercially.

Where can I find detailed information regarding a CDT coding question or interpretation, or the process for creating new codes?
ADA members may call the ADA Third Party Payer Concierge at 312.440.2500 with coding questions, or email dentalcode@ada.org. More coding information is online here. To learn more about CDT and its Code Maintenance Committee (CMC), click here.
Do I have to buy the CDT: Current Dental Terminology manual each year?

While buying the manual each year is not a requirement, you may be more likely to experience rejected insurance claims if you don’t keep up with new, deleted and revised codes. CDT contains the complete list of all CDT codes plus full descriptors of the codes, which are usually not included in practice management software.

What is the difference between CDT: Current Dental Terminology and the CDT Companion?

CDT consists of the complete CDT codes, along with their nomenclature and descriptors. The CDT Companion is a training tool to help dentists and their teams improve coding skills. It contains coding scenarios and explanations, along with coding Q & A and other supplementary information to increase your coding knowledge.

What does the HIPAA Kit include?
The ADA Complete HIPAA Compliance Kit includes two components:
  • The ADA Practical Guide to HIPAA Compliance: Privacy and Security Manual and e-book
  • The ADA Practical Guide to HIPAA Training and e-booklet and videos
They are designed to be used together. We recommend using the training program before you begin developing your HIPAA compliance program. It contains two levels, one for dental team members who will be designing the program and one for staff to educate them on the basics of HIPAA compliance.
What does the OSHA Kit include?
The ADA Complete OSHA Compliance Kit includes two components:
  • The ADA Practical Guide to OSHA Compliance: Regulatory Compliance Manual and e-book
  • The ADA Practical Guide to OSHA Training: Compliance for Dental Professionals workbook, streaming video and e-book

This kit helps you train employees, draft an exposure control plan, meet the requirements of the Globally Harmonized System for hazard communication and keep records of your staff training and compliance efforts.

Please note COVID-19 implications are not included in this edition.

Do I have to train my staff on HIPAA and OSHA every year?

OSHA requires that staff receive annual training on the bloodborne pathogens standard for the following team members:

  • Once a year for all team members whose jobs place them at risk for potential exposure to bloodborne pathogens
  • New hires whose jobs place them at risk for potential exposure to bloodborne pathogens
  • Team members who receive new duties that may place them at risk for potential exposure to bloodborne pathogens

Besides the Bloodborne Pathogens standard, there is no requirement for annual OSHA and HIPAA training. However, we strongly recommend not only conducting annual OSHA and HIPAA trainings for the safety of your practice, but also documenting these activities in case you are audited. Forms for this purpose are provided in both the HIPAA and OSHA manuals.

How do I access the templates, worksheets and other helpful resources that come with The ADA Practical Guide to Creating and Updating an Employee Policy Manual and Dental Communication: Letters, Templates and Forms?

The e-books contain instructions for digital access so you can download the resources.

Access instructions for e-books are typically printed on the inside front cover of your book.  If you ordered directly from ADA Store, you will receive an email confirmation that includes a link to the e-bookshelf and your e-book.

Log in with your user ID (typically your ADA number or email address) and your password. If you need assistance, call an ADA Member Service Advisor at 800-947-4746.

I have some amazing clinical photos. They would be a great addition to your brochures!

We would love to see your high-resolution photos on just about any dental scenario. Email a sample image to Caitlin Wilson, patient education product manager, wilsonc@ada.org. Photos should be in crisp focus and at least 300 dpi (file size is typically 1 MB and up). If chosen, you will receive written photo credit on each product where the image is used.

I wrote a book that I’d like to sell in the ADA Store.

The ADA receives many requests to sell books from individuals each year. Unfortunately, we are unable to accommodate these requests and cannot sell the books in a manner that is successful for either the author or the ADA. We encourage you to take advantage of the many internet marketplaces who cater to self-publishers.

I work for a nonprofit and am looking for donations of patient education brochures.

From time to time, ADA Store is able to donate surplus brochures. Priority is given to dental nonprofits and charities in Chicago and Illinois. Email a request to store@ada.org and we’ll put you on our list to be notified when donations are available.
